Privacy note

Last updated 12 August 2026. This note describes how Gateway Stack Hub handles personal data when you enquire, book a reading, or visit gatewaystack-hub.digital.

What we collect

• Enquiry details: name, email, telephone if given, the kind of reading requested, and the message you send.
• Application files you later supply: statements, transcripts, activity lists, references or briefs, and related education documents.
• Billing details needed to issue an invoice in Malaysia.
• A cookie preference stored on your device if you accept or reject optional cookies. See the cookie note.

We do not need extra copies of identity cards beyond what a destination itself requires. Please do not send them unsolicited.

Why we use it

We use enquiry and file data to scope a reading, perform the audit, send the report, hold the follow-up call, and keep accounting records. We do not sell contact lists. We do not send files to schools, universities, or award bodies unless you separately instruct us in writing, which is not part of the ordinary service.

Sharing

A file is read by the assigned practitioner at this desk. We may use an accountant or a secure email host who sees only what is required to run the office. Institutional sample reviews are returned only to the commissioning organisation. We disclose data if Malaysian law requires it.

Retention

Enquiry messages that do not become a booking are deleted within ninety days. Working copies of a student file are kept for six months after the report is sent, then deleted, unless a longer period is required for a refund dispute or by tax law. Invoices are kept for the period Malaysian tax rules require. You may ask us to delete a file earlier; we will say if an invoice record must remain.

Your requests

You may ask what data we hold, ask for a copy, or ask us to correct or delete it, subject to legal retention. Write to audits@gatewaystack-hub.digital or visit the office. If you are a parent commissioning a reading for a child, we treat you as the contact unless the student is an adult acting in their own name.

International transfers

If you send files from outside Malaysia, they are stored and read in Kuala Lumpur. We do not operate a cloud product for applicants. Use a method we confirm in writing; do not upload packs to public links.

Children

School-transfer files often concern minors. We accept those files from a parent or guardian, or from a school that warrants it has authority to share anonymised or named samples. We do not market to children.
